A panelist must be assigned this role by the webinar host. The host can also disable some features for panelists, including starting video, screen share, and recording. Attendees are view-only participants who can be un-muted only if the host chooses.
Their view of the webinar is controlled by the host. There are three different ways to invite attendees to register:. The Participants option in your webinar toolbar at the bottom of your screen to manage the panelists and attendees in your webinar. Your webinar is now scheduled. Check Mute participants upon entry. If you are running a webinar, your participants won’t be able to unmute themselves. Enable the waiting room When the waiting room is enabled, participants can’t join the meeting until you admit them. Enable for a single meeting Log into Zoom.
Check Enable waiting room. Enable for all meetings Log into Zoom. On the left navigation pane, click Settings. In the “Security section”, locate the “Waiting Room” toggle. Toggle the “Waiting room” setting on. Once it’s enabled, the toggle will change in color from gray to blue. Zoom Health users and regular Zoom IU users are part of a different Zoom instance, and as such, will be treated as guest participants if attempting to join one anothers’ meetings.
For example, if a user from Zoom Health tries to join a Zoom IU user’s meeting, and the Zoom IU user has the waiting room enabled with Guest participants only selected, the Zoom Health user will be sent to the waiting room. If the waiting room is toggled on at the account level, all future meetings will by default have the waiting room enabled. You can turn this off for a single meeting when you create the meeting, or by editing the meeting.
Unlike waiting rooms, the bypass setting can’t be changed on a per-meeting basis. You can require registration in both meetings and webinar. There are two approval methods automatically and manually.
You can also select the information you would like to gather from registrants such as first name, last name, email, along with other details like address, organization, etc. There is also a text field for questions and comments. You can also create custom questions for registrants to answer during registration. You can make any of the field required or optional except for First name and Email Address, they are always required. You can always decide to record your meeting.
Recording to the cloud is the preferred method because it takes the processing load off your computer and is the only way to record on devices. Cloud recording can also save the chat and will be displayed in the playback link along with transcripts. The host can edit the transcripts and chat before sharing the playback link. Local recording records to the hosts computer and processes the file that does not have the chat or transcript options.
Security is very important, but some settings can limit what you can and cannot do in a meeting. Decide how you will be sharing your link. Is it a private event or public event? Will you need a webinar or meeting? For a more secure registration, use the manually approve option. While more time consuming, can avoid potential disruptors by not giving them the information automatically.
This will prevent all participants from sharing their screens. This can be done using the security button. The host can also set this in the share screen advanced button in the meeting. In a meeting you can turn off annotations only after the sharing has started, this can expose the meeting to potential disruptions. You can turn off annotations by going to the Zoom controls in at the top of the screen and select more.
A password can be set protect your meeting. If you use auto registration anyone who registers will also have the password. Be mindful of where you share the meeting link and passwords should not be posted publicly. You can lock a meeting, if anyone loses connection they cannot rejoin. It blocks anyone from entering even if they have the proper password.
This is a good method to keep people out but can prevent invited participant from reconnecting in case of network disruption. The waiting room is a good measure that puts participants in a waiting room. The host can allow 1 at a time or allow everyone in at once. In larger meetings this could become time consuming and it is recommended to have a few co-hosts if you want to manage incoming users.

Let me know what you see. I am not logged into a zoom account and am able to access meetings that require registration by using the meeting id and then typing in the encrypted password. No this actually not true. It does not ask me to register, it allows me to enter the meeting without asking me to register.
Do I need to send you a screen recording? If you can provide the steps to reproduce or an example, this will help. I also am seeing this behavior. If you have the meeting id and the password from the approval email from the registration, you can pass it along to someone else and they can enter the meeting.
